Organizing embroidery files

I've looked and relooked at your system Ceil, and the more I think about it, the more I like it. Having an Information/tutorials folder is an excellent idea, and keeping zipped files separate, then unzipped ones in another folder is far more sensible than the way I've done it. (I've been deleting the zipped files as I've extracted the .jef ones, so I hope to goodness I never have an issue with them in the future.

I really liked your explanation of how you organize your files for embroidery.
I would like to offer my embroidery folder that I've created and give to my embroidery students as a start for organizing their embroidery designs.
It's a zipped file which needs to be downloaded and unzipped (extracted) before it can be used.
Organization will largely depend on how the user thinks and what makes sense to them. This folder is based on categories but is a very good start to get thinking about what makes sense to you.
Of course, if a person hasn't previously seen the need to organize this can be a monumental task depending on how many files and where they've plopped them onto their computer.
It can be a lot of work! But is necessary to keep your computer organized and be able to find what you need when you want it!

Thank you Ceil for sharing your files and how you organize them.  I thought I’d jump in here and share my way of organizing designs.  I have the 120000.  First I will say I’m a MAC gal, so using the PC took some doing for me.  In fact, I only keep embroidery designs on it, as I store other embroidery files on the MAC.  

When I first started ME on my 350E, a friend suggested setting up a folder on the PC where all embroidery designs are stored.  I organized them by category, as you do, in a folder called MY DESIGNS.  In it, by category are the designs (animals, Christmas, Patriotic, etc), and then give them a name.  Since I totally feared the computer crashing and losing the designs, I did 3 things:

1.  I backed up all the designs onto a usb stick.  How many will depend on how many designs you have.  If I lose all the designs, I can reload them using the USB.
2.  With my MAC, I took a screen shot of the design I was purchasing from one of the sites, and printed it.  I know it takes a lot of ink, but I reduce the size, just so I have the size, stitch count and the site.  
3.  I file those shots in 3 ring binders with the same categories as in MY DESIGNS.  
When I look for a design, I can look in the book, see the design size, and if I make any changes to it, I note that on the design.  If it’s a new design I print the template and file it for next time.  It’s easy then for me to go directly to the design I want and not be at the PC scrolling through designs to find the one I want.  

Since I started this when I began, it’s easy to do, but would be very time consuming otherwise.  I might add that my MAC is in my office on the mail floor of my house where I spend most of my time and my PC is on the lower level near my 12000 and I can direct link to the machine.

I also keep ideas, general instructions on my MAC, again because it’s near, with embroidery ideas, helpful hints, etc.  After reading your ideas I realize I need to get all that information onto the PC.   Not sure how to do that.  They are in a folder on the MAC and everything is in WORD doc., and I don’t have WORD on the PC.   Any ideas anyone???

I copied the file into my usb and put them on my MAC and downloaded Word for MAC app on my MAC all all works great.

Find a friend who has an older version of MS Word that is not being used and install it on your PC. These files aren’t fancy and even a 15 year old version would work!   The other option is to download a freebie PDF create program on your Mac -convert the Mac  Word files to PDF and install PDF readers on both your Mac & PC. A third option is the Open Office Suite which you can purchase from Amazon for under $20 that mimics MS Office programs.

If you have the ability to print to pdf format you can convert all your word documents to .pdf.

Thank you for the great tip about printing out designs.  Even though it may seem that mine are basically organized, if I wanted a maple leaf for example, I would have to do too much looking to make it worthwhile and I will definitely use you tip of printing out the design templates in order to make them truly useful. I did stitch out every stitch the machine has to offer (on two pieces of cloth that I keep rolled up- regret not making it a book but this way does allow me to compare them) and was surprised by how different they look stitched out than they do in the book or on the machine.  I bring that up because it's always amazing to see someone use a built-in design as I never recognize it and think that I should at least print out the templates for those designs as well (and make use of them too!)
On my PC I use a program which is free called LibreOffice when I was too cheap to buy MS Word for my newest computer. I had tons of Word documents from when I was working and years of using Word and it opened all of them.  Sometimes it says that formatting may be lost but I've never had a problem.  It's a suite that also has a spread sheet and other documents.

I am really appreciating these ideas and wish had done those folders from the first. Am using a combination of the computer folder (use both Mac and PC)  and hard copy picture folder  but also add to the picture the number of the USB I have the design on- hmmm this suggests I use multiple usbs- I do and they are totally organised with a number and description tag- just the computer root designs that need more organisation.
