How to Edit Individual Notes

Diane Fitton

On the individual print-out, I have Individual Notes, 1, 2, 3, and 4.  Each one a paragraph.

I need to revise and edit several notes, but the only note I can view to edit is Note 1.  I have scrolled and clicked on the Note window in the larger focus window to no avail.

Thanks in advance.

Diane

Diane,

Have you looked at the Notes tab in the property box?  This should show all the notes for that individual and you should be able to edit them there.

Bill,

Yes, I clicked on the yellow tab NOTES.

It displays  only my first NOTE and FACTS  (that I added for “residences”). I rebooted my computer as well.

I know the notes are there because I have a print out.

I upgraded to version 7.

Additional information.

Apparently, this error is occurring on ALL my records when I click on NOTES TAB: Only the FIRST NOTE and all the additional FACTS regarding residences.

Diane, I wonder how you created those Notes in the first place?

Anyway, open the All tab and by clicking the [+] buttons you can expand the entries to reveal all subsidiary fields.

You may need to scroll down to the bottom but you will find several consecutive links to your multiple Notes.

To simplify future access, it may be better to combine those multiple Notes into one by using Copy & Paste.

Then you can delete all except the first Note.

Diane,

You say that only the first fact is showing on the Facts tab as well?  Do you only have one residence fact for that individual?  Do you have any other kind of fact for that individual, for example a birth fact?  Are you saying that only the residence fact is showing and no others?

I can't imagine how FH could be showing only one if there are really more.

Mike,

I created each note by clicking on “add note”.

I opened All tab.  There are no [+] buttons (in the left record column) to expand the NOTE entries. I can see only the first line of each note.  I tried clicking on that as well.

Interestingly, there are [+] buttons (in the left record column) to expand the FACT entries.

Ah Ha.  I just went back to the Notes Tab and now the notes show.

In the future I will first type my notes in Word and then copy ONE NOTE for each individual in FH. I will be working on my late-husband’s ancestors who were the Winthrops in England, and there will probably be plenty of notes!

Thanks for your help.

Diane

Bill,

When I click on the Fact tab, I see ALL the facts.  I clicked on “add facts” and selected residences because this particular ancestor had many residences in Manhattan.

But when I click on the Notes tab, I see all added residence facts and now (for whatever reason) I can see the notes.

Moving forward, I will type all my notes in Word, revise and edit, and then  bundle them into one Note in FH.

Mike,

I used to have just a single note per individual in Reunion which I used before FH.  Reunion would allow having citations on different sentences in the notes so that you could cite where that info came from.  When I moved to FH, it would not allow this as it was not supported by GEDCOM.

Does GEDCOM now support this?  FH?  If not, I wouldn't want to have just one note as I couldn't adequately cite my sources.

Bill,

The FH V7 Rich Text Note editor allows any sentence to have its own specific citation.

It is not a GEDCOM feature but a new FH Rich Text feature that puts special codes in the Note field for bold, italic, fonts, tables, hyperlinks, citations, etc...

Mike,

OK... since I don't use rich text it won't be available to me anyway.

I do wonder though.  If it is not supported by GEDCOM then what happens to these citations on sentences within a note when the note is exported to another program.

Why not use Rich Text just for the Citation feature?

What is your reason for not using Rich Text?

When exported in GEDCOM to other products the Rich Text features will appear as magic textual codes or the codes are removed depending on the options you choose.

The Export Gedcom File plugin keeps a few Rich Text codes that the target product understands, but hyperlinks and citations currently get removed.

It might be possible to retain the sentence Citations as general Note field Citations, but in GEDCOM v5.5.1 Citations on Notes are not allowed, so some products do not allow them and my plugin has to move such Citations to the parent data item for such products.

However, I suspect that is the same as with Reunion that would not be able to put Note sentence Citations into GEDCOM even for v5.5.

"Why not use Rich Text just for the Citation feature?"

While I used that feature when I was using Reunion, I now prefer to use separate notes and I have the appropriate citations on each note.

"
What is your reason for not using Rich Text?"

Mostly because I have thousands of notes that were created without rich text and I don't want to have a mix of rich text and plain notes.

"

I seem to recall from past forum posts that in GEDCOM 7 the will be supported.  Is my memory bad (actually I know my memory is bad, but was this recollection bad)?

"

Yes, this was a problem when I moved from Reunion to FH.  Luckily I didn't have many notes at that time and was able to break them into separate notes and add the appropriate citation to each one while I still had Reunion up and running.

You are correct that GEDCOM 7 allows Citations on Notes as with GEDCOM 5.5.
