Merging multiple copies of Media files and beyond

Sorry to have created confusion in the Ether, multiple images of the same page is what I have.


I have another Question though. I would like to change some image file titles, I realise I cannot do that directly or they will get lost. Can I achieve the same objective by making another copy but with a different title and merging the original with all its data into the newly titled media file?

Mike, I was presuming Ray had several images (pages if you like) of a document that linked to a single fact. Without converting them into a single multipage image they would only be viewed one at a time. I had exactly the same issue with a war diary which I initially scanned into individual images (1 for each page). I had linked all these to a single fact (Enlistment). I later linked them all again to the Discharge fact. A long winded process for 20 images but now with a single multipage image the process is much more streamlined and to me at least make for a much easier experience when I read the document. Ray,

You need to be clear about the distinction between a media file  and a media record.  A media file will be (most often, but not exclusively) an image file in .JPG format, which is stored on your computer, probably within the Media folder of your FH project.  A media record is a type of record within FH, listed on the Media tab of the Records window in FH, which links to one of those media files on you computer.


Can you clarify whether you want to rename a media file or a media record?


You can change the name of a media record within FH without breaking the link to the media file.  On the other hand if you change the name of a media file the link to the media record will be broken.  However it can be it can be fixed, using Tools>External File Links. If you need some help with that, ask again.


(You cannot merge two media files but you can merge two media records within FH, discarding one of the links to a media file the process. But this would not be the usual way to achieve your goal.)

Sorry about the confusion, I keep doing that. What I have at the moment is the following - a Media copy jpg of the Jacket to a set of PRs say for Brinkworth Parish whose name is currently an alpha numeric assigned at the originating site,this media record now has a great many links. Whenever I am creating a new BMD fact sourced from those PRs I embed the relavent PR page as a jpg plus the jpg of the jacket.

I was having difficulty finding the relavent alpha numeric so simply down loaded whenever I needed it, hence my earlier problem of multiple copies. I simply want my media file to be more easily located by making its name more appropriate. I should of course have done that in the first place.

I hope that makes things clearer and not simply muddied the waters.

If so, you must have given them all slightly different names because you can't have two or more files with the same name in the same folder on your computer (probably your FH Media folder).   You can, on the other hand, have two or more Media records with the same name in FH because they are distinguished by their record ID numbers.   So do you have a lot of identically named media records in FH, each of which is linked to one of those slightly differently named files?  Or do you have a lot of media records with slightly different names, each linked to one of those slightly differently named files?


If either of these descriptions sound right then it might indeed be easiest to start by merging all those media records first, so that you reduce them to one media record which is linked to just one of the media files.  The next stage would be to rename that one media file and then repair the broken link to that file.  Finally all the left-over unused files could be deleted from your computer.  If you need help with any of those stages, or if I have misunderstood the current set-up, ask again.  


(By the way I'm not sure what you mean by " I embed the relevant PR page as a jpg plus the jpg of the jacket."  Do you add the medai direct to the BMD fact? or do you create a source for the BMD fact and link the media to that?)

Good, you are nearly there.  Change the name of the Media file using Windows Explorer.   Then in FH use Tools > External File Links.  This opens a small (but expandable) window listing all the Media files you have linked to FH.  Scroll down until you see the one you have just changed the name of.  It will have a black cross through the icon beside it.  Click on it to select it, then click the Edit button.  You can now enter the new name of the file.  Click OK and the black cross should disappear.  Now click OK again, in the 'Work with External File Links' window, to complete the job.


Alternatively you could make the change in the All tab of the Property box for the Media record, where the File field contains the file path to the Media file.

But when you create your next Source you will be surely using a completely different file.

If you want to involve the same existing file then you would either cite an existing Source record or link an existing Media record.

You will never need to locate that media file again.

 

In the screenshot below the Media Record is shown with its File: link to the Media File.

To include that image file anywhere in FH you link to the Media Record and never need to find the file.

I forgot to say, I have been assuming that after successfully merging the duplicate Media records into one, you have already given that record a meaningful name (by editing the title in its Property Box).   As Mike has said, it's the Media record you need to be able to find again easily, not the file. 


I understand that you want to change the name of the file as well, perhaps for reasons of consistency, but it's not necessary.

I have another Question though. I would like to change some image file titles, I realise I cannot do that directly or they will get lost. Can I achieve the same objective by making another copy but with a different title and merging the original with all its data into the newly titled media file?
