Date
IRON DOG Qualifiers

ngarcia1701 <nancykgarcia@...>

I am happy to announce that the listings for the IRON DOG award qualifiers has been posted. You will find links to the qualifying Active dogs and qualifying Inactive dogs on the front page of the NAFA web site.

Plaques for all dogs on the Active list will automaticaly sent to the Regional Directors for distribution. If you would like for the dog's name to appear differently on the plaque than how it is listed there is a link to a request form at the top of the dog listing. These requests need to be received by December 1st.

Plaques for the Inactive dogs must be requested. The link to the request form is at the top of the list. Please submit your request by December 18th. Any plaque orders received after December 18th will still be filled but will be considered part of a second order and therefore have a later delivery date.

Please email awards@... for such things as not being on the Iron Dog List or general questions about the award.

voting reminder

Dana Nichols <workinglabs@...>

I wanted to remind everyone that Monday, November 21, 2011 is the deadline to verify your email address for delivery of your electronic ballot.  We have had well over 50% of voters confirm their emails.  If you haven't confirmed your email address by Monday, then your ballot will be sent out to the email address we have on file.  Please take the time to click on & verify your email.  I have had a few club owners who didn't realize they were eligible to vote this year.  With 4 or more team entries (calculated per tournament - so two one day tournaments are still treated separately this year), your club earns a vote.

Online verification system:  http://www.nafaflyball.com/database/eballot_signup.php

General information:  http://www.flyball.org/news_110211.html

FAQs:  http://www.flyball.org/electionFAQ.html

Ballots will be delivered approximately December 1, 2011 by email.

Please help us make sure your ballots are delivered.

Election FAQs

Dana Nichols <workinglabs@...>

We've had a few questions about voting and the online process for confirming your email address.  We put together some FAQs listed below.  They'll also be posted on the web page soon.  It's really important that you complete the second step of the online confirmation process by clicking on the link in the verification email.  This lets us know that you received the email and everything should be set to send your ballot out.

2012 Election FAQs

Who gets to vote?

Qualified voters include:

·         Club owners whose clubs entered 4 or more teams and/or hosted one or more tournaments and ran at least one team during the fiscal year ending 9/30/11

·         current judges at the approved and supervising levels

·         regional directors

·         board members

How many votes do I get?

This year’s election is for votes accrued during the 2011 fiscal year (ending 9/30/11).  This means it falls under the bylaws still in effect at that time (maximum of 8 votes, votes calculated by tournament both for hosting and entries).  Service votes (RDs, judges, and board members) are 1 vote per service category (e.g. a person who is RD and an approved judge would receive 2 votes – 1 for each category).

How do I vote?

First, go through the online voter confirmation process.  This will allow us to make sure we have a valid email address to send your ballot and also confirm the number of votes you receive.  This is a TWO STEP PROCESS.

The first step is logging into the system at:  www.nafaflyball.com/database/eballot_signup.php

The second step is activating the confirmation by clicking on the link in the validation email that is sent to your address.  It’s important that you complete the second part of the process so we can confirm that you’ve received the email.  If you don’t receive the email or the link doesn’t work, try logging in again to resend the validation email.  If you still have trouble, then email us at flyball@... or elections@....

Ballots will be mailed out to your email address.  If we don’t have a confirmed email address for you, we’ll send it to the last email address we have on file.  We want to make sure that everyone receives their ballots, so please go through the confirmation process.

How do I make sure you have calculated the correct number of votes for me?

Log in to the online voter confirmation system: www.nafaflyball.com/database/eballot_signup.php

Once you confirm your valid email address, you’ll be sent a validation email with a calculation of your votes earned for the election.  You must finish the process by clicking on the link in the validation email.  Please note:  if you logged in on the first day (11/2/11) and the system said you were already confirmed, but you hadn't logged in for this year's election, please try again.  Some of the voters who were confirmed from the previous year had not yet been reset in the system to receive the email.  It’s a good idea to check your vote count, especially if you receive votes from two different categories (e.g. club owner and judge) to make sure they have been correctly combined, since your email address and/or name may be different for each in our records.

Please complete the online confirmation (including clicking on the validation email) no later than November 21, 2011.

When will ballots be sent out?

We are targeting to have ballots distributed by email around December 1, 2011.

Do I have to have an email address to vote?

Yes.  Ballots will not be distributed by postal mail this year.  Please make sure that you have a current email address on file with NAFA by going through the online confirmation system: www.nafaflyball.com/database/eballot_signup.php

If you need to add or change your email address, send the changes to:  flyball@...

What is the deadline to vote?

All ballots must be voted online no later than January 19, 2012.  Results will be announced at the January 21, 2012 Annual General Meeting.  They will also be posted on the web page shortly following the meeting.

I went through the online confirmation process, but it shows I don’t have any votes.

Club owners:  Double check to make sure you earned votes in the fiscal year 10/1/10 - 9/30/11.  Are you a club owner whose club had at least 4 entries during that year or hosted a tournament during that year?  If you are the owner of a newly registered club, it’s likely that you didn’t earn votes during the past fiscal year.

Service votes:  Are you currently an approved or supervising judge?  Apprentice and provisional judges do not earn votes.  Are you a regional director?  If you are an interim regional director and have not yet been approved by the Board of Directors, you do not yet earn a vote.

Others:  If you are not currently listed as a club owner, or otherwise qualify for a service vote, then you do not receive votes in the election.  If you believe there is an error, such as club ownership was transferred to you, please send an email to flyball@... or elections@....

If you aren’t a club owner, but have an opinion about how your club’s votes should be voted, contact your club owner.  He or she may value your feedback.

Our club is owned by an organization, not an individual.  How do I handle the online confirmation process?

We have modified the online process to now allow the business or organization name to be entered in the “first name” section.  You’ll still need to use the email address listed for your club ownership.  Ballots will be sent to that address.

The online confirmation can’t find me in the system.

Often the issue is how your name is entered.  If your name was entered as two parts (e.g.  first name = "John W." or "Mary Ann" or "Dr. James", last name = "Smith-Jones" instead of "Smith Jones" or "Jones", or "Smith, Jr." with or without period or comma, etc.), you’ll need to make sure you are entering your name the way it was originally entered.  Try modifications such as adding the space or taking it out.  If you still can’t find it, send an email to flyball@... or elections@... and we’ll try to isolate the problem.  And, be sure you are eligible to vote in this election (see first FAQ above).

Ballot information

Dana Nichols <workinglabs@...>

This year’s election will be conducted electronically.  No ballots will be mailed.  All voters must have a valid email address on file with NAFA to receive a ballot.  Voters include:  club owners, regional directors, approved and supervising judges, and board members.

We are asking that all voters go through the confirmation process.  This will confirm that we have a valid email address.  The email you receive will also indicate how many votes you have earned for this election.  If you do not go through this process, we’ll have to send your ballot to the email address we have on file.

Please note that this is a TWO step process:

Step 1 – go to www.nafaflyball.com/database/eballot_signup.php, input your name and email address.  Once you are found in the database, you’ll be sent a confirmation email.

Step 2 – after you receive the confirmation email, click on the link and make sure that your address has been verified.

If you have any trouble during the process, please send an email to flyball@....  If you need to update your email address (we have a few voters who have no email address on file), please send an email to flyball@....  The confirmation link will be posted on the NAFA web page later today.

Please complete the confirmation process by November 21, 2011.  We are hoping to have ballots sent out by December 1, 2011.  Voting will end January 19, 2012 and results will be announced at the Annual General Meeting on January 21, 2012.

Iron Dog Award Details

ngarcia1701 <nancykgarcia@...>

I have been receiving quite a few questions about the Iron Dog Award so here are a few more facts I wanted to share with you all:

We are busy making sure the data base is as up to date as possible as of the close of the NAFA year, September 30, 2011. Once we have all the data complete the following will be issued:

1. List of all eligible Active dogs that will automatically be receiving the IRON DOG plaque. This will give everyone the opportunity to review the list. As previously stated, these will be shipped to the Regional Directors for distribution. However, if you have recently moved and need to have your plaque mailed to you directly, you can send an email to Annie at alynnta@....

2. List of all eligible non-active dogs for which a plaque can be requested, along with an on-line ordering process. Part of that ordering process will be to verify spelling of your pup's name and to tell us either to which Region we should send the plaque or if it should be sent to a specific address.

Iron Dog Award

ngarcia1701 <nancykgarcia@...>

At CanAm 2011, Executive Director Lee Heighton unveiled the new NAFA Iron Dog Award. A NAFA IRON DOG is a dog that has earned at least one NAFA point in ten consecutive racing years. Attached is a sample of the IRON DOG plaque.

For all qualifying Active status dogs (i.e. dogs that have earned a point in the last 18 months), they will automatically receive their Iron Dog plaque.

For qualifying Inactive/Retired/Deceased dogs, NAFA will be honored to provide a plaque for those special dogs. However, those will be issued only by request. An online request form will be on our website shortly.

IRON DOG plaques will be issued annually after the end of each NAFA racing year. Plaques for qualifying active dogs will be mailed to the Regional Directors for distribution.

Plaques issued via special request will also be mailed to the Regional Directors unless request to have the plaque mailed directly to the requestor has been received. Specific mailing preferences will be available on the order form.

The first group of Iron Dog plaques will be distributed shortly after the first of the year. Watch your NAFA News for more information and updates as we finalize all the details.

delegate vote - multibreed class

Dana Nichols <workinglabs@...>

At the August 27-28, 2011 Board meeting, the Board voted to submit for delegate vote a proposal to change the point schedule for the multibreed class.  A special meeting was called on October 6, 2011 to finalize the language for the ballot.  The proposal was posted on the NAFA web page shortly afterwards to begin the 3 month comment period.  Any comments may be sent to elections@....  Here is the link to the proposal: http://www.flyball.org/news_board.html   I’ve also copied the language at the bottom of this email.

This proposal will be on the ballot for this election with results announced at the AGM on January 21, 2012 in Raleigh, North Carolina.  The Board passed the proposal as a binding delegate vote.  Thus, under the bylaws, if the proposal earns 2/3 of the valid votes cast, the Board is required to adopt it.  If the proposal earns a majority of the valid votes case, the Board has the discretion to adopt it.

The proposal as listed on the NAFA web page:

October 6th, 2011 - Multibreed point proposal for a binding delegate vote

Introduction: In an effort to revitalize the multibreed class, the board is presenting a proposal for consideration by the delegates that would increase the NAFA title points earned in the multibreed class. If adopted, the following change would become effective October 1, 2012.

Question for delegate vote: Should NAFA amend the point-count rules for the multibreed class so that each dog on a team that runs with a recorded time less than 24 seconds earns 30 points; from 24 to 27.999 seconds earns 7 points; and from 28 to 31.999 seconds earns 2 points?

Pros: This increase is designed to recognize and reward the comparative difficulty of assembling a multibreed team where every dog running is of a different breed, counting a mix as a single breed. Of all the classes, multibreed perhaps does the most to stimulate interest in flyball because people who have dogs at home can identify with the variety of breeds running and visualize doing so with their own dog.

Cons: This proposal cheapens the points earned by dogs who run with clubs not able to field multibreed teams and makes titles too easy to get. There should be one point system for all.

Preferred regions reminder

Dana Nichols <workinglabs@...>

Tomorrow, September 30, 2011, is the end of the fiscal year and the last date for clubs to prefer into another region.  If clubs preferred into another region this year, the club will be left in that region unless we hear otherwise or there is another change that would affect regional status (such as club owner's address changes to another region).

Please be advised that there is a new rule change effective 10/1/11:

A host club’s regional affiliation shall determine the region in which regional points accrue for tournaments hosted by that club, except when the tournament is hosted more than 200 road miles away from the opted-in regional border, in which case the regional points will accrue for the region where the tournament is geographically located.

New for this year's CanAm Classic tournament!  A "Meet and Greet Gift Basket Exchange"!

We are coordinating a great way for your club to meet clubs from other regions.  Each participating club would both give and receive baskets.

We will assign the clubs to each other and let you know in advance to whom you are giving your basket.  We will keep it a surprise as to who will be giving you a basket.

What do you include?  Use your creativity and imagination!  It can be a theme basket of items that are only found in your region, state or province.  It could be a snack basket for the people.  Or, perhaps just something for the dogs.  It doesn't have to be extravagant, just something fun you want to share.  Don't have a basket? No worries, just put the items in a gift bag.

If your club would like to be included in the meet and greet exchange please email Ally Stern at ally@..., by Sunday, September

25, 2011.   Ally will let you know by Tuesday, 9/27 what club you will be gifting so that you can plan your basket/bag. She will provide the club name, number of people attending, their crating area location, and if they are racing all three days or just Sat & Sun.   There will be no organized time for the gift exchange.  Each club will deliver their baskets at their own convenience.

Have Fun!

All the plans and preparations are coming together for CanAm 2011!

An event of this size couldn't be done without volunteers. We appreciate the clubs that have already told us that they could help out with some line and box judging. Now that the racing schedules are posted, if you find that your team has a sizable break and you are able to do a little line or box judging please contact Dave Walt at dwalt@....

We look forward to seeing everyone in two weeks!

Have Fun!
